Heardloom helps families record their elders' stories and keep them within the family. This page explains what we collect, how we use it, who can see it, and how to delete it.
What we collect
- Phone number, to sign you in and match you to family invites.
- Family details that you or your family enter: names, how the family addresses someone, birthdays (as much of the date as you know), hometowns, and relationships.
- Recordings and stories: interview audio, transcripts, the stories and translations made from them, and memories, comments, and voice thank-yous family members add.
- Photos you choose to upload, with their captions.
- Device details: your push notification token, language, and time zone.
- Invite link clicks: when someone opens an invite link on an iPhone, we briefly record the IP address, iOS version, device type, screen size, language, and time zone, so the newly installed app can join the right family. These records are deleted after 24 hours.
We don't show ads, don't track you across other apps or websites, and don't sell any data. The app contains no third-party analytics or advertising code.
AI processing
To run interviews and turn them into stories, your recordings and text are sent to third-party AI providers for processing: the live voice conversation, asking questions, writing stories from conversations, translation, answering family members' questions about the archive, and organizing the family tree and facts. The app asks for your permission before the first time this happens.
These providers process the data only to provide these features to us, under their terms for business API customers, and don't use it to train their models. Processing happens in the United States.
Other service providers
- Cloud hosting for the database, recordings, and photos (United States).
- An SMS provider sends sign-in codes.
- Push notification services deliver notifications.
Who can see what
Your family space is private: only invited and approved family members can join. The person who told each story decides who sees it: the whole family, selected people, or only themselves. Storytellers can hide or delete their stories at any time.
How long we keep data
We keep a family's data while the family uses Heardloom, and commit to keeping it for at least two years. Before any deletion, organizers are notified 90, 30, and 7 days ahead, with a one-tap full export.
Deleting your account
Delete your account in the app under More → Delete account. This removes your sign-in, the stories you told and their recordings, the photos you uploaded, and your comments and reactions. Your place in the family tree stays, but is no longer linked to your account or phone number. If nobody else in your family has signed in, the whole family space is deleted. Copies in backups expire within 35 days.
Children
Heardloom isn't meant for children under 13 to use on their own. A parent can add a child to the family tree and manage them.
